ERP for logistics companies where the trip sheet is the real ledger

You run trucks, a warehouse, or both. Jobs arrive by phone and email, drivers carry paper trip sheets, and proof of delivery comes back crumpled a week later, which is when invoicing finally starts. Fuel cards, tolls and driver advances get reconciled whenever accounts has a quiet afternoon.

Invoicing waits for paperwork

The delivery happened on Monday. The signed POD reaches the office the following Tuesday, so the invoice goes out eight days late and gets paid thirty days after that.

Fuel you can't account for

Fuel card statements show litres and a station, not a trip. Matching them to routes and loads is a monthly chore, so odd patterns go unnoticed.

Detention and waiting time never billed

A customer kept your truck waiting four hours at their dock. The driver mentioned it on the phone. The charge never reached the invoice.

Driver advances that don't reconcile

Cash for tolls and meals goes out before the trip. Receipts come back partially, and the balance sits on a ledger that gets reviewed once a year, if that.

Invoices wait for paper

In most transport businesses, cash flow is set by the slowest document in the chain, and that’s nearly always the proof of delivery. A driver gets a signature on a docket, the docket rides around in the cab for a few days, someone scans it, and only then does accounts feel safe raising the invoice.

Capture that signature on a phone at the drop and the invoice can go out the same evening. For most operators, that one change pays for the whole project. It’s also where we’d start, ahead of route optimisation or dashboards.

What ERPNext and Odoo give a transport operator today

ERPNext has a Delivery Trip DocType that groups Delivery Notes into stops with a vehicle and driver, and can estimate arrival times with a maps integration. The HRMS app adds Vehicle and Vehicle Log for odometer and fuel records, and Expense Claims with employee advances. Warehousing, stock and accounts are solid.

Odoo has Fleet for vehicles, drivers, contracts, odometer readings and service costs, plus Inventory with batch and wave transfers and dispatch-oriented delivery views. Expenses handles driver claims.

What’s missing on both is the operational core of a transport business. Jobs that aren’t sales orders, trip sheets with multiple legs, POD capture per drop, rate cards by pallet, kilo or kilometre, detention charges, and fuel analysis per truck. A custom fleet management module usually fills that gap.

One truck, one bad week of fuel logs

Here’s how the fuel check in the prompt works in practice. Truck 14 has averaged 32 litres per 100 km over the last three months on regional runs.

On Wednesday, Marco takes it on a 640 km round trip and logs 248 litres from two fuel stops, with receipt photos. That’s 38.75 L/100 km, about 21% above the truck’s average. The trip is flagged for the fleet manager.

It isn’t automatically a problem. The load might have been heavier than usual, or the route hillier. So the module compares against trips with the same truck, a similar load band and the same route type, rather than the overall average. If it still stands out, the fleet manager can check the receipts against the fuel card statement and the tracker’s idle time.

The same trip had a 3.5-hour wait at the customer’s dock. The rate card allows 2 hours free, then $60 an hour. Marco tapped “arrived” and “loading started” on his phone, so the module adds a $90 detention line to the invoice, with the timestamps attached as evidence. Without those timestamps, most operators never bill detention at all.

Fuel receipts and tolls flow into expense management against the driver’s advance, and the trip’s revenue and fuel cost roll up into a per-truck margin report.

Mobile is where these projects succeed or fail

Get the driver screen wrong and none of the above happens. A driver at a loading dock with gloves on and one bar of signal isn’t going to fill in a form with twenty fields.

We keep the driver’s view to a handful of big actions: start trip, arrived, POD, fuel, finish. Everything else is filled in by the office or defaults from the job. Test it in a cab before rolling it out, not at a desk.

TMS, ERP, or both?

If you run hundreds of trucks with complex load planning and live route optimisation, buy a transport management system and integrate it. A generated module won’t beat a specialist product at that scale.

If you run a regional fleet where the pain is paperwork, billing and cost visibility, a custom module inside ERPNext or Odoo is usually the better fit, and you’ll own the code. Is ERPNext or Odoo a good fit for a transport company?

Both can run the finance, HR and warehouse side well. ERPNext has Delivery Trips and Vehicle Logs, and Odoo has a Fleet app, but neither is a full transport management system. Most operators pair the ERP with a custom trip and POD module, which is what we build.

Will drivers need a separate app?

Not necessarily. A mobile web page built for the job works for many fleets. If drivers are often out of signal for long stretches, a small offline-capable app that syncs to the ERP over its REST API is more reliable. We'll help you decide based on your routes.

Can it pull GPS data from our trackers?

We can generate an endpoint or scheduled job that imports trip distance, stops and idle time from your telematics provider's API. The tracker hardware and its platform stay as they are.

Can we bill by pallet, by kilo and by trip on different contracts?

Yes. Rate cards per customer with different charge bases are one of the first things we generate for logistics companies. Surcharges like fuel levy and after-hours delivery sit on the same rate card.
